Import from Bukku

Move your customers, products, invoices and payments from Bukku to Invoa — export Backup Data, upload, review, and keep your original numbers.

You can bring your Bukku history into Invoa yourself in a few minutes: customers, products and services, sales invoices and their payments. Invoices keep their original Bukku numbers and dates, and Invoa's own numbering carries on after your last Bukku number. Nothing is imported until you review it and click Import.

Owners and admins can run an import.

Step 1: Export from Bukku

  1. In Bukku, open Control Panel → Backup Data.
  2. Export Contacts and Products & Services.
  3. Export Sale Invoices and Sale Payments, with a date range that covers all your invoices.

You now have four .xlsx files. Do not edit or rename the columns.

Note: Bukku's Backup Data does not include quotations. Re-create open quotations in Invoa, or ask us to bring them across as part of onboarding.

Step 2: Upload the files

  1. In Invoa, open Settings → Import data.
  2. Under From Bukku, click Choose the exported .xlsx files and select all four files together.
  3. Click Check files.

You can upload up to 10 files at a time, each up to 10 MB, and only .xlsx files. Include the Contacts export: invoices need their customers.

Invoa reads the files and opens Review import. Nothing has been added to your company yet.

Step 3: Review and choose options

The review page shows how many contacts (and how many are new), products and invoices it found, and the total still outstanding. Under Check before importing it lists anything to look at, such as a payment whose invoice is not in the invoices file.

Set the Options:

What to import

OptionImports
Full historyEvery invoice with its payments.
Open balances onlyOnly invoices that still have money owing. The fastest way to switch.

Tax codes

Under Tax codes, match each Bukku tax code to the SST treatment Invoa should apply. Every code needs a choice before you can import.

Continue your numbering

Under Continue your numbering, Invoa shows your last Bukku number (Last in Bukku) and suggests Next invoice and Next receipt so the sequence has no gap. The preview shows the next Invoa number, for example INV-26-0013.

New invoices use Invoa's numbering pattern (INV-{YY}-{NNNN} by default), not Bukku's prefix. To keep a different prefix, change the pattern in Settings → Numbering — see Numbering and templates.

After changing an option, click Update preview to see the result, then check the invoice list at the bottom. Each invoice shows Paid, Partly paid or Unpaid, or Already in Invoa — skipped if that number already exists.

Step 4: Import

  1. Click Import.
  2. Confirm. Imported invoices become permanent records.

When it finishes, the page shows how many invoices, receipts, new contacts and new products were imported, and how many were skipped because they were already present.

What is imported

Bukku dataIn Invoa
ContactsMatched to existing contacts by TIN, then email, then name. Only new ones are created.
Products & ServicesAdded to Products & Services.
Sale InvoicesIssued invoices with their original numbers and dates. Their timeline notes that they were imported from Bukku.
Sale PaymentsRecorded against their invoices. Payments that had a Bukku receipt get an Invoa receipt under the original receipt number.

Imported invoices do not count towards your plan's monthly issued-document allowance.

What is not imported

  • Quotations — not in Bukku's Backup Data.
  • Credit notes — if you upload a credit notes export, the review lists it as not imported. Re-create any open credit notes in Invoa.
  • e-Invoice status — imported invoices show the e-invoice status Not submitted, even if Bukku already submitted them to LHDN.

Important: Do not click Submit to LHDN on invoices that were already e-invoiced through Bukku. Submit only invoices you issue in Invoa.

Nothing is sent

The import does not email your customers and sends nothing to LHDN. Payments are recorded without receipts being emailed.

Run it again

Each upload is imported once. To add more — for example invoices from a later date range — upload the files again and import the new batch. Invoices whose numbers already exist in Invoa are skipped, and missing receipts are added, so nothing is duplicated.

Earlier uploads are listed under Previous imports on Settings → Import data.

Help with other systems

The import wizard reads Bukku files only. If you are moving from SQL Account, AutoCount or spreadsheets, click Ask for an assisted migration under Other systems, or email hello@invoa.io. We move the data for you as part of our Setup & e-Invoice onboarding service.
