Delivery orders
Send a delivery order with the items and quantities you delivered, let the customer confirm receipt online or sign the PDF, then invoice from it.
A delivery order (DO) lists what you delivered: the items and quantities, with no prices. Many customers, government agencies in particular, need a signed delivery order before they will process your invoice. In Invoa the chain is quotation → delivery order → invoice, and each step copies the lines from the one before.
Create a delivery order
There are three ways:
- From a quotation: open the issued or accepted quotation, click Convert and choose Delivery order. The quotation is marked converted.
- From an invoice: for goods you deliver after invoicing, open the issued invoice and click Delivery order. The invoice does not change.
- From scratch: open Invoices (or Quotations), switch to the Delivery orders tab and click New delivery order.
Check the draft, then click Issue Delivery Order. It gets the next number from its series, DO-26-0001 by default; you can change the pattern under Settings → Numbering (for example PX-DO-{YY}-{NNNN}).
What the customer receives
The PDF shows your company details, Deliver to (the customer's delivery address when they have one, else the billing address), and the items with their quantities and units. Prices are not printed: they are kept for the invoice you create from the delivery order.
At the bottom are two boxes to sign on delivery: Delivered by and Received in good order by (name, IC number or designation, signature, date and the customer's stamp).
Confirm receipt
Send the delivery order like any other document. On its page the customer can click Confirm receipt after typing their name; the delivery order then shows Received with their name and the date. If the customer signs the paper copy instead, open the delivery order and click Mark as received.
Invoice from a delivery order
Open the delivery order and click Create invoice. Invoa creates a draft invoice with the same lines and prices and marks the delivery order Invoiced. You can invoice before or after receipt is confirmed.
What a delivery order never does
- It is never sent to LHDN: delivery orders are not e-invoices.
- It takes no payments and never appears in receivables, aged debtors or sales reports.
- It has no due date and is never overdue.
