Attachments

Attach proposals, scopes of work and other files to issued quotations and invoices, and choose whether your customer sees them or they stay internal.

Attach files that belong with a document — a technical proposal, a scope of work, a site drawing, a signed purchase order. Each file is either shown to your customer on the document's link or kept for your team only.

Attach a file

You attach files on the page of an issued document. Drafts open in the editor, which has no attachments section, so issue the document first.

  1. Open the document, for example from Invoices or Quotations.
  2. In the Attachments card, choose the file.
  3. Optionally type a label, for example "Technical proposal". Without one, the file name is used.
  4. Tick Show on the customer's page if your customer should see it. Leave it unticked to keep it internal.
  5. Click Attach file.

The document's timeline records File attached. Attaching a file does not change the issued document itself, its PDF or its number.

Customer-visible or internal

Each attachment shows Shown to the customer or Internal only.

SettingWho can open it
Shown to the customerYour team, and anyone with the document's link. It appears under Documents on the customer's page.
Internal onlyYour team, from the document page in Invoa.

To change it, click Show to customer or Hide from customer under the attachment. The timeline records Attachment visibility changed.

Note: Attachments are not added to emails. The email always includes the document's link, and customers download visible attachments from the page it opens. Only the document's own PDF can be attached to the email.

Remove an attachment

Click Remove under the attachment. It disappears from the document and from the customer's page, and the timeline records Attachment removed. Invoa keeps the file in its records rather than deleting it.

File types and size

AllowedExtensions
PDF.pdf
Images.png, .jpg, .jpeg, .webp
Word, Excel, PowerPoint.docx, .xlsx, .pptx
  • Each file can be up to 25 MB.
  • Empty files and other formats (for example .zip or older .doc files) are refused.

Who can attach

Owners, admins and members can attach, show, hide and remove files. Accountants and viewers can open attachments but not change them. See Team and roles.

Note: The full company export in Settings → Data export contains every generated PDF but not attachments. Keep your own copy of files you upload. See Export your data.
