Profit and loss, cash flow and accountant exports
See profit and loss on an accrual or cash basis, money in and out by month, and export CSVs your accountant can load into their software.
Invoa builds simple management accounts from what you already do in it: invoices, payments, expenses and imported bank statements. Open Reports. Profit and loss and cash flow are part of the Core and Pro plans; aged receivables, sales by customer and the SST summary are on every plan.
Profit and loss
Reports → Profit & loss shows, for the dates you choose:
- Income: sales before SST (invoices and debit notes; SST you charge belongs to Customs), less credit and refund notes, plus bank lines you filed as Other income.
- Cost of sales: expenses in categories grouped as cost of sales (codes 5000–5100 by default).
- Gross profit: income less cost of sales.
- Expenses: every other category, plus self-billed invoices (agent commission, foreign suppliers).
- Net profit and net margin.
Expenses count their full total, SST included, because SST paid to suppliers generally cannot be claimed back. Bills you uploaded but have not reviewed are not counted yet; a note tells you how many.
Switch between two ways of counting:
| Income counted | Expenses counted | |
|---|---|---|
| Accrual | When invoiced | By bill date (paid or not) |
| Cash | When the money arrives | When paid |
Accrual shows how the business performed; cash shows what actually moved. Your accountant will usually ask for accrual.
Cash flow
Reports → Cash flow shows money in, money out, net and a running total per month. Once you import bank statements under Bank, the figures come from the bank's own lines. Before that, they come from payments you recorded and expenses marked paid.
Exports for your accountant
Reports → Exports has, for the chosen dates:
| Export | What is in it |
|---|---|
| Sales journal (generic, SQL Account, AutoCount, Xero) | Invoices and credit, debit and refund notes; the generic layout also lists payments |
| Profit & loss (accrual / cash) | Each line with its account code |
| Expenses journal | Every bill: supplier, bill number, account code, amount before SST, SST, total, paid date and method |
| Bank transactions | Statement lines and what each was matched to |
| Aged receivables | Open invoices by age |
The account codes are the ones under Settings → Expense categories, so match them to your accountant's chart once and every export lines up. Invoa does not keep a balance sheet; your accountant's software builds it from these exports.
