What is Invoa

Invoa takes Malaysian businesses from quotation to invoice, payment and receipt, with LHDN e-invoicing, CHIP payments, expenses, bank reconciliation and Claude.

Invoa is quote-to-cash software for Malaysian businesses. You send a quotation, turn it into an invoice, get paid online or by bank transfer, and the receipt issues itself. When you need it, Invoa also submits your invoices to LHDN's MyInvois system as e-invoices. Around that, it keeps your expenses, reconciles your bank statements and shows your profit and loss.

It is built and supported by Prigo X Technologies Sdn. Bhd. in Cyberjaya.

Who it is for

  • Small and medium businesses that quote, invoice and chase payment every week: agencies, consultants, contractors, travel companies, training providers, cafés with corporate customers.
  • Teams switching from Bukku, spreadsheets or Word templates who want numbered, consistent documents and a clear view of who owes what.
  • Accountants, company secretaries and tax agents who look after several client companies. See For accountants.

The document chain

Every sale follows the same chain. Each step links to the one before, so you can always trace a receipt back to the quotation it started from.

StepWhat happens in Invoa
QuotationPrice your work, optionally with a written proposal. The customer can accept it online. A proforma invoice works the same way.
Delivery orderOptional: list what you deliver; the customer confirms receipt online.
InvoiceConvert the accepted quotation into an invoice, or start a new one. Numbers are allocated only when you issue.
PaymentThe customer pays online through CHIP or by bank transfer. You record or confirm the payment.
ReceiptA receipt is issued for each payment and emailed to the customer with the PDF.

Customers on a price list get their own prices filled in. For work billed in stages, a billing schedule creates the invoices for each milestone or monthly instalment for you.

Getting paid

Every issued document has a customer page: a private link that shows the document, lets the customer download the PDF and, for invoices, pay.

  • Pay online through CHIP, a Malaysian payment gateway: FPX online banking, corporate FPX, cards, e-wallets and DuitNow QR. Money settles into your own CHIP account, not Invoa's. See Online payments with CHIP.
  • Bank transfer to the account printed on the invoice, with your bank's DuitNow QR if you upload it. The customer taps I have paid by bank transfer, uploads proof, and you confirm it in one click. See Payments and receipts.
  • Payment reminders go out by email before and after the due date, on rules you set. See Payment reminders.

You send documents by email (PDF attached), by WhatsApp, or by copying the link. See Send by email, WhatsApp or link.

LHDN e-invoicing

Invoa submits issued invoices, credit notes, debit notes and refund notes to LHDN's MyInvois system, and on Pro also consolidated e-invoices for walk-in sales and self-billed e-invoices. You appoint Prigo X Technologies Sdn. Bhd. once as your intermediary (a company LHDN allows to submit on your behalf) in the MyInvois portal; after that you submit from the invoice page with Submit to LHDN. You stay the supplier on every e-invoice.

Whether you must issue e-invoices depends on your turnover. Read e-Invoicing in Malaysia before you start.

Run it from Claude

Connect Invoa to Claude under Settings → AI connectors and ask in plain language: "Which invoices are overdue?" or "Draft an invoice for Lembah Bayu Travel for the October milestone". On every plan Claude can read your data and prepare drafts. On Pro it can also issue, send and record payments, and anything that issues, submits or voids waits for your approval. See Connect Claude.

Expenses, bank and reports

  • Expenses: upload supplier bills as PDFs or photos and AI reads the supplier, date, amounts and SST for you to confirm. See Expenses.
  • Bank: import bank statements as CSV or PDF. Payments match their invoices, and rules and your past decisions suggest the rest. See Bank statements and reconciliation.
  • Reports: aged receivables, sales by customer, SST summary, profit and loss (accrual or cash) and cash flow. See Profit and loss.
  • Insights: sales, getting paid, quotation win rate, your biggest customers and costs, compared with the period before. See Insights.

Works with your accountant's software

Invoa covers sales, expenses, bank reconciliation and management reports. It is not a general ledger: there is no balance sheet and no payroll. Your accountant keeps using SQL Account, AutoCount, Xero or whatever they prefer, and imports your sales, expenses and bank lines from Reports → Exports, which has ready-made layouts for:

  • SQL Account (invoice and credit note import)
  • AutoCount (debtor invoice import)
  • Xero (sales invoice CSV)
  • A generic sales journal with TIN and e-invoice status on every line

You can also give your accountant their own login with the Accountant role; it never counts towards your plan's people. See Team and roles.

Plans

Invoa is free for up to 20 invoices a month for one person and their accountant, with 10 bills read by AI, and Claude or ChatGPT can read your data and prepare drafts on every plan. Core (RM 39 a month or RM 390 a year, before SST) removes the limit and the "Powered by Invoa" badge and adds up to 3 people, bank reconciliation, profit and loss, price lists, the API and 200 bills read a month. Pro (RM 79 a month or RM 790 a year) adds unlimited people, Insights, billing schedules, consolidated and self-billed e-invoices, the accountant console, 500 bills read a month, up to 3 companies, and lets Claude or ChatGPT issue and send with your approval. You can try Pro free for 14 days. See Plans, trial and billing.
