Approvals and safety

How Invoa keeps you in control when Claude works in your company: approval links for issuing, e-invoice submission and voiding, logs and roles.

Claude can prepare your billing, but the steps that create official records need a person to say yes. Issuing a document, submitting it to LHDN and voiding it all go through an approval link that you open in Invoa. Every action Claude takes is logged.

What needs your approval

ActionApproval
Issue a documentYes, unless your company has an auto-approve limit and the total is below it
Submit an e-invoice to LHDN MyInvoisAlways
Void a documentAlways
Create or edit contacts and drafts, convert a quotationNo. Drafts have no number and customers cannot see them.
Send a document by emailNo. It goes to the customer straight away.
Record a payment or confirm a payment claimNo. A receipt is issued and emailed to the customer.
Trigger a billing-schedule milestoneOnly if the schedule issues automatically: Claude creates the draft and asks for your approval before it is issued and emailed.

Claude sends emails and records payments as soon as you ask, so be specific in those requests. You can check everything it did under Recent assistant actions.

How an approval works

  1. Claude prepares the action and asks for approval. It gives you an approval link that starts with https://app.invoa.io/approvals/.
  2. Open the link and sign in. The page shows what is being asked (Issue this document, Submit to LHDN MyInvois or Void this document), the document, customer, total, who requested it, and when the request expires. For an issue request, you see a full preview of exactly what will be issued, including the number it will receive, for example INV-26-0042.
  3. Choose one:
    • Approve — Claude finishes the step itself. Tell Claude you have approved and it continues.
    • Approve & issue now (or Approve & submit now, or Approve & void now with a reason) — Invoa carries out the action immediately.
    • Reject — nothing happens and Claude is told no.

Each approval:

  • covers one action on one document, and cannot be reused for anything else;
  • can be used once;
  • expires 24 hours after Claude asked. It must be approved and used within that time. If it expires, ask Claude to request it again.

You never need to give Claude a code from the approval page. Claude already holds the request and waits for your decision.

Requests you have not answered yet are listed in Settings → AI connectors under Waiting for your approval. Click Review → to open one.

Auto-approve limit

By default, every issue needs your approval. Settings → AI connectors shows whether an auto-approve limit applies to your company. When it does, Claude issues drafts whose total is below that limit without asking. The limit never applies to e-invoice submissions or voids; those always need a person.

The 72-hour rule for voiding e-invoices

LHDN lets you cancel a validated e-invoice only within 72 hours of validation. Claude checks this before it asks to void. After 72 hours it tells you the e-invoice cannot be voided and offers to draft a credit note instead. Invoices with confirmed payments cannot be voided either. See Submit and cancel e-invoices.

See what Claude did

Settings → AI connectors → Recent assistant actions lists the last 30 things Claude did in your company:

ColumnShows
WhenDate and time of the request.
ToolThe Invoa tool Claude used, for example create_draft or record_payment.
ClientThe Claude app that made the call.
Statusok, error, pending approval (with a link to the approval) or denied (the connection lacks that permission).
ResultA short summary of the outcome, for example the document number or the error.

Changes Claude makes are also recorded in Settings → Audit log, alongside changes made by your team.

Permissions and roles

Three things decide what Claude can do, and the strictest one wins:

  1. Your plan. On Free and Core, Claude can read everything and prepare drafts and contacts; you issue them in Invoa. Pro, or a running Pro trial, adds issuing, sending, payments, e-invoice submission and schedules, each with your approval.
  2. The permissions you allowed on the consent page when you connected.
  3. Your role in the company. Claude acts as the person who connected it.
RoleThrough ClaudeCan approve requests
Owner, admin, memberRead and write, within the plan and permissionsYes
Accountant, viewerRead only, whatever the permissions sayNo

Anyone who opens an approval link must belong to the company. A person with the accountant or viewer role sees the request but cannot approve it.

Turn Claude off

Open Settings → AI connectors and click Revoke access next to the app under Connected apps. Claude loses access straight away. See Connect Claude.
