Submit and cancel e-invoices

Submit an issued invoice to LHDN MyInvois, read its e-invoice status, fix validation errors, and cancel within 72 hours or correct with a credit note.

Once Prigo X is appointed as your intermediary, you submit each invoice to LHDN from its page in Invoa. LHDN checks it and, if it is valid, gives it a unique number (UIN) and a QR code that Invoa adds to the PDF. You do not need to log in to the MyInvois portal.

If you have not connected yet, start with Connect MyInvois.

What can be submitted

Invoices, credit notes, debit notes, refund notes, self-billed invoices and consolidated invoices, once they are issued. Quotations, proformas, delivery orders and receipts are never sent to LHDN. A void document cannot be submitted.

Submit an invoice

  1. Issue the invoice as usual. See Invoices.
  2. On the invoice page, find the e-Invoice (LHDN MyInvois) card.
  3. Click Submit to LHDN.

Invoa queues the submission and sends it in the background. The card shows Submitted — waiting for LHDN validation. Refresh the page after a moment to see the result.

Owners, admins and members can submit. Every submission also appears in the Submissions log on the e-Invoice page, newest first.

Note: Issuing does not submit. Submit each invoice when you are ready, so you can check it first.

e-Invoice statuses

StatusMeaning
Not submittedIssued in Invoa, not yet sent to LHDN.
QueuedYou clicked Submit to LHDN; Invoa is about to send it.
SubmittedSent; waiting for LHDN's validation result.
ValidLHDN validated it. The UUID, Validated time and Cancel by time are shown.
InvalidLHDN, or Invoa's own checks before sending, found a problem. The errors are listed on the card.
CancelledThe e-invoice was cancelled at LHDN.

The timeline on the invoice records each step, for example e-Invoice validated by LHDN.

When it is valid

  • The invoice PDF is regenerated with LHDN's QR code, the UUID and the validation time, under the heading Tax Invoice. Your customer can scan the QR code to verify it.
  • Open on MyInvois portal on the card opens the e-invoice in LHDN's portal.
  • The Cancel by time shows when the 72-hour cancellation window closes.

Fix validation errors

When the status is Invalid, the card lists each error with its code and message. Errors starting with INVOA_ come from Invoa's checks before anything was sent to LHDN.

Common causes and fixes:

Error saysFix
e-invoice profile incompleteComplete the missing items on the e-Invoice page or in Settings → Company (TIN, BRN, MSIC code, address with state, phone).
Buyer has no TINAdd the TIN on the customer's contact. See Find a customer's TIN.
TIN does not match the ID or registration numberCheck the customer's TIN, ID type and ID number on the contact, then click Validate TIN.
LHDN refused the login or the submitterCheck the intermediary appointment in the MyInvois portal, then Test connection. See Connect MyInvois.

After fixing the cause, click Resubmit to LHDN. Invoa uses the customer's current contact details and your current company profile when it resubmits.

The issued invoice itself cannot be edited. If the error is in the invoice's lines, amounts or dates, void it and issue a corrected invoice.

Cancel within 72 hours

LHDN lets you cancel a validated e-invoice only within 72 hours of validation. In Invoa you cancel by voiding the invoice:

  1. On the invoice, open More and click Void.
  2. Enter the Reason, for example "Wrong billing period".
  3. Confirm.

The invoice keeps its number and is marked Void. Because it was validated less than 72 hours ago, Invoa also sends the cancellation to LHDN, and the e-invoice status changes to Cancelled. If LHDN refuses, the timeline shows e-Invoice cancellation failed.

Only owners and admins can void. An invoice with confirmed payments cannot be voided; use a credit note instead. An invoice with issued credit notes cannot be voided until those are voided.

After 72 hours: credit note

Once the window has closed, Void is disabled with the message that the LHDN 72-hour cancellation window has closed. Correct the invoice with a credit note instead:

  1. On the invoice, open More and click Create credit note.
  2. Invoa opens a draft credit note that references the invoice, with its lines copied. Change the lines to the amount you are crediting.
  3. Issue the credit note.
  4. On the credit note, click Submit to LHDN.

The credit note carries the original invoice's number and LHDN UUID, so LHDN links the two.

Credit, debit and refund notes

NoteUse it to
Credit noteReduce what the customer owes on an issued invoice, for example a discount given later or a returned item.
Debit noteCharge more on an issued invoice.
Refund noteRecord money you paid back to the customer.

All three must reference the original invoice and are submitted to LHDN the same way as an invoice. Credit notes are created from the invoice with Create credit note. They are listed under the Credit notes tab in Invoices.
