Quick start
Sign up, create your company, add a customer, then issue, send and get paid on your first Invoa invoice — step by step, in about fifteen minutes.
This walk-through takes you from a new account to a paid invoice with a receipt. It takes about fifteen minutes. The example company is Cempaka Studio invoicing its customer Lembah Bayu Travel Sdn. Bhd.
1. Create your account
- Go to invoa.io and click Start free. You see Create your Invoa account.
- Enter Your name, Email and Password (at least 8 characters), then click Create account. If Continue with Google is shown, you can use your Google account instead.
No card is needed. You start on the Free plan, which allows 20 invoices a month; quotations, proformas, delivery orders and receipts are not counted.
2. Set up your company
Right after sign-up you see Set up your company.
- Enter your Company name, for example
Cempaka Studio. - Check the Workspace URL. It fills in from the company name; lowercase letters, numbers and dashes only.
- Click Create company.
You land on the Dashboard. You can add more companies later from the company switcher.
3. Add your company details
Your company details are printed on every quotation, invoice and receipt, so fill them in before you issue anything.
- Open Settings → Company.
- Fill in at least the Legal name, Registration no. (SSM), address and Email.
- Under Bank accounts, click + Add account and enter the account your customers should pay into.
- Click Save.
Each issued document keeps a copy of the details as they were when it was issued, so later changes do not alter old documents. The full list of fields is in Set up your company.
4. Add a customer
- Open Contacts and click New contact.
- Enter the Contact name (the only required field), for example
Aina Rahman, and the Company name,Lembah Bayu Travel Sdn. Bhd. - Add an Email so you can send invoices and receipts. Add a Phone or WhatsApp number to send by WhatsApp.
- Optionally set Payment terms (days). New invoices for this customer are then due that many days after the issue date.
- Click Create contact.
Tip: You can also create a customer while writing an invoice: type a name in the Customer box and choose Create “…”.
If you will submit e-invoices, add the customer's TIN and ID details too. See Find a customer's TIN.
5. Create your first invoice
- Open Invoices and click New invoice (or New invoice on the Dashboard).
- Pick the customer under Customer.
- Under Line items, type a Description, Qty and Unit price, and choose the Tax for the line. Click Add line for more lines.
- Optionally fill in Title / subject, Your reference, Notes to customer and Terms & conditions.
The draft saves automatically as you type; the bar at the top shows Saving… and then Saved with the time. Drafts have no number yet. Click Save & preview to see how the invoice will look.
6. Issue it
- Click Issue Invoice.
- Check the Number to allocate (your first invoice is
INV-26-0001with the default numbering), the Issue date and the total. - Click Issue now.
Issuing allocates the number and locks the invoice. It cannot be edited afterwards; corrections are made by voiding it or issuing a credit note. See Invoices.
7. Send it
After you issue, the Send Invoice dialog opens.
- Check To (the customer's email), the Subject and the Message.
- Leave Attach PDF ticked.
- Click Send email.
The customer receives the PDF and a link to the invoice's customer page, where they can pay online or tell you they paid by bank transfer. You can also send by WhatsApp or Copy link. See Send by email, WhatsApp or link.
8. Record the payment
When the money arrives in your bank:
- Open the invoice and click Record payment.
- Check the Amount (RM) — it is filled in with the balance; partial payments are fine — and the Received on date.
- Choose the Method, for example Bank transfer, and add a Reference.
- Leave Issue a receipt for this payment and Email the receipt to the customer (PDF attached) ticked.
- Click Record payment.
The invoice shows Paid and receipt RC-26-0001 is emailed to the customer. If the customer pays online through CHIP, or reports a bank transfer that you confirm, this step happens for you. See Payments and receipts.
