Find a customer's TIN
Add and validate your customers' tax identification numbers for e-invoices, look a TIN up at LHDN with Find TIN, and fill in missing TINs in bulk.
Every e-invoice names the buyer by their TIN (tax identification number, issued by LHDN) together with an ID: a business registration number for companies, or a MyKad, passport or army number for individuals. Invoa checks these with LHDN and can look up a TIN your customer has not given you.
Where the TIN goes
Open the contact and click Edit, or create a New contact. The e-Invoice details section holds:
| Field | Enter |
|---|---|
| Registration no. (SSM) | The company's 12-digit SSM number, for example 202301012345. This is the most reliable way to find a company's TIN. |
| TIN | The customer's TIN, for example C12345678900, or click Find TIN to fetch it |
| ID type | Business Registration Number (SSM), MyKad / NRIC, Passport or Army number |
| ID number | The number for that ID type, without spaces. For MyKad, the 12 digits without dashes. |
| SST no. | The customer's SST registration number, if they have one |
TIN validation
When you save a contact with a TIN, Invoa asks LHDN whether the TIN matches the contact's ID type and ID number — or, when those are empty, the Registration no. (SSM) as a business registration number. The result shows as a badge on the contact and in the contacts list:
| Badge | Meaning |
|---|---|
| TIN valid | LHDN confirmed the TIN for that ID. |
| TIN invalid | LHDN did not match the TIN to the ID or registration number. |
| TIN unverified | Not checked yet, for example because LHDN could not be reached. |
| No TIN | The contact has no TIN. |
To check again later, open the contact and click Validate TIN.
Tip: For a company, the 12-digit SSM number under Registration no. (SSM) is enough. For an individual, choose the ID type (for example NRIC) and enter the ID number.
Find TIN on a contact
If your customer has not given you their TIN:
- Open the contact and click Edit.
- Enter the company's Registration no. (SSM). It sits just above the TIN field. For an individual, fill in the ID type and ID number instead. The company name also works, but a misspelt name can match the wrong company, so prefer the SSM number.
- Click Find TIN next to the TIN field. Until something to search with is filled in, the button is greyed out and the line under it says what to enter.
Invoa searches LHDN in this order: ID type and number, then the registration number, then the company name.
- Found at LHDN — the TIN is filled in. Click Save to keep it.
- Found at LHDN by name — check it is the right taxpayer — a search by name can match a different company with a similar name. Confirm with your customer before you save.
- No match at LHDN — check the number, or ask your customer.
Nothing is saved until you click Save.
Find missing TINs for all customers
Owners, admins, members and accountants can fill in TINs for many customers at once.
- Open Contacts.
- Click Find missing TINs.
- Read the summary and click Find TINs.
Invoa looks up every active customer that has no TIN, up to 100 per run, using the same order as above. When the result comes back:
| Result | What happened |
|---|---|
| Found | Found by ID or registration number and saved on the contact, then validated like a manual edit. |
| Check: matched by name | Found by company name only. Shown for you to check; never saved automatically. Open the contact, confirm, and save it yourself. |
| No match | LHDN has no taxpayer for those details. |
| More than one taxpayer | A name search matched several taxpayers. Add the registration number and try again. |
| No ID or company name | Nothing to search with. Add an ID, registration number or company name. |
| LHDN rate limit | LHDN asked Invoa to slow down. The run stopped; click Run again a little later. |
If more customers are waiting, the summary says how many were not checked yet. Click Run again to continue.
Note: Lookups use your e-invoice Environment. Most real companies are not in LHDN's sandbox registry, so switch to Production before relying on the results. See Connect MyInvois.
Customers without a TIN
An invoice to a contact with no TIN cannot be submitted on its own: submission stops with an error asking you to add the buyer's TIN. You can add the TIN to the contact after issuing and click Resubmit to LHDN.
For walk-in and other customers who do not give a TIN, leave the TIN empty. On the Pro plan, those invoices can be covered by one monthly consolidated e-invoice. See Consolidated and self-billed.
